The Charter Coordinator has two roles; coordinating details of private business jet flights and
maintaining efficient office processes in the charter department. Both roles require a demeanor
to interact daily with affluent individuals. The Charter Coordinator is our primary contact for
customer relations and serves as the company’s “Manager of First Impressions” and must be
able to communicate in a professional manner with proper grammar and diction. An attentive
disposition with the ability to anticipate customer needs must be clearly portrayed to Red Wing
Aviation (RWA) clients. Above average organizational skills are fundamental to success. The Charter Coordinator is responsible for coordinating with flight crews, management and outside agencies to convey customer requirements and maintain smooth flowing flight operations. This position requires the ability to perform complex tasks using networked computers and the internet with minimal supervision. You will need to acquire knowledge of business jet capabilities and market rates as well as a resourcefulness to meet client requests. A solid understanding of RWA services is required, as well as involvement in marketing efforts to promote those services through telephone and personal contact with potential customers.

Qualifications:
Required Education and Experience:
• High School diploma or equivalent.
• Customer service experience.

• Strong customer service skills.
• Strong computer and technology skills.
• Ability to work independently, multi-task and utilize good judgement.
• Reliable and trustworthy.
• Ability to utilize Microsoft Word and excel to create administrative reports

Responsibilities:
• Provide a high level of service to RWA customers and flight crews through attention to detail and commitment to service and team work
• Answer telephones with a professional and positive attitude
• Describe RWA services to potential customers
• Provide an accurate and timely pricing quote
• Perform credit card authorizations at the time flight reservations are made
• Schedule trips and/or ensure they are recorded using the on-line and office boards
• Input flight manifest into the required computer software programs and verify security via the Federal no-fly list
• Set up concierge services such as catering, ground transportation and hotel bookings, to passengers, as requested
• Create flight crew trip folders for each trip clearly conveying customer requirements, passenger manifest and itinerary details
• Reconcile flight details and costs after the flight and forward information to accounting
• Secure the best possible price for fuel by arranging wholesale fuel purchases and comparing prices at destination Fixed Base Operators
• Ensure that all flights comply with United States and international customs requirements for annual permits and flight specific procedures using provided checklists

Compensation, Benefits, & Pre-employment requirements
Compensation for this position starts as $40,000 annually. Benefits include health, dental, vision, 401k, Paid Time Off and other benefits.
